Prohibited Activities

You must not use FlowHive to:

  • Break any applicable law or regulation
  • Commit fraud or deception
  • Upload malicious software, viruses, ransomware or other harmful code
  • Attempt unauthorised access to any account, system or network
  • Circumvent security controls or interfere with platform operations
  • Harvest or scrape data without permission
  • Reverse engineer or decompile the platform except where permitted by law
  • Use automated tools that negatively affect platform performance
  • Misrepresent your identity or organisation
  • Use the platform to send spam or unsolicited communications

Violations of this section may result in immediate suspension and, where appropriate, referral to relevant authorities.

Content Standards

Users are responsible for all information uploaded into FlowHive. Content must:

  • Be accurate where reasonably possible
  • Be relevant to legitimate business activities
  • Respect the privacy of others
  • Not infringe copyright, trademarks or other intellectual property rights

Content must not:

  • Contain unlawful, defamatory, threatening, abusive, discriminatory or offensive material
  • Contain material promoting violence, hatred or illegal activities

FlowHive reserves the right to remove content that breaches this Policy where legally permitted or contractually agreed.

Account Security

Users are responsible for maintaining the security of their accounts. You must:

  • Keep passwords confidential and use strong passwords
  • Enable multi-factor authentication where available
  • Not share accounts unless expressly permitted
  • Notify FlowHive immediately if you believe your account has been compromised

Customer Responsibilities

Customer organisations are responsible for:

  • Managing user permissions within their account
  • Ensuring only authorised users access the platform
  • Maintaining accurate workforce records
  • Ensuring data entered into FlowHive is lawful
  • Complying with UK GDPR and all other applicable legislation
  • Obtaining any necessary consents before processing personal data
  • Maintaining appropriate internal policies governing platform use

Data Protection

Customers remain responsible for personal data they upload into FlowHive unless otherwise agreed in writing.

Customers must ensure they have a lawful basis for processing any personal information stored within the platform under UK GDPR and all applicable data protection legislation.

Where FlowHive processes personal data on behalf of a customer, it will do so in accordance with the applicable Data Processing Agreement.

Intellectual Property

FlowHive, including its software, branding, documentation, graphics, code and content, is protected by intellectual property laws. Users may not:

  • Copy the software or modify its source code
  • Sell or resell the platform
  • Create competing products using FlowHive
  • Remove copyright or proprietary notices
  • Use FlowHive branding without prior written permission

Nothing in this Policy transfers ownership of FlowHive's intellectual property.

Fair Use

FlowHive is designed to support normal business operations. Customers must not:

  • Deliberately overload the platform
  • Generate excessive automated requests
  • Use the platform in a manner that negatively affects other customers
  • Circumvent subscription limits or licensing restrictions

Where unusually high usage materially affects service performance, FlowHive may contact the customer to discuss appropriate solutions.

Third-Party Integrations

Where customers connect third-party services to FlowHive, they are responsible for ensuring those integrations are authorised and lawful.

FlowHive is not responsible for third-party systems or services beyond its reasonable control.

Monitoring

FlowHive may monitor platform activity for legitimate purposes, including:

  • Protecting platform security
  • Detecting and preventing fraud
  • Investigating suspected misuse
  • Maintaining service reliability
  • Meeting legal obligations
  • Supporting customers

All monitoring will be carried out in accordance with applicable data protection legislation.

Suspension of Access

FlowHive may temporarily suspend access where it reasonably believes:

  • This Policy has been breached
  • Security has been compromised
  • Illegal activity is suspected
  • Continued access presents a risk to the platform or other users
  • Emergency maintenance is required

Where appropriate, FlowHive will explain the reasons for the suspension and work with the customer to resolve the issue.

Termination

Serious or repeated breaches of this Policy may result in:

  • Account suspension
  • Removal of content
  • Restriction of access
  • Termination of the subscription in accordance with the applicable subscription agreement
  • Reporting to relevant authorities where legally required

Governing Law
